Job Description

As a fast-evolving company with endless opportunities, we are looking for a dedicated and skilled Patient Coordinator to join our team, being the key point of contact between patients and various departments at Immucura. In this role, you will provide essential administrative support while delivering exceptional customer service to our patients, requiring strong multitasking abilities
and a steadfast commitment to confidentiality.
This is a full-time position, with a hybrid working model. The first month shall be fully presential due to training purposes, but from then onwards you will be working 2 days in our Marbella office and 3 days remotely.

Key Responsibilities

  • Schedule, coordinate, and facilitate consultations.
  • Collaborate with the Logistics Team to efficiently order supplies.
  • Ensure strict adherence to established procedures and protocols.
  • Stay informed about evolving developments within the Medical Team.
  • Coordinate appointments with patients and healthcare providers.
  • Serve as a point of contact for patients, providing information and addressing concerns.
  • Send appointment reminders to reduce no-show rates.
  • Update and maintain patients’ health records.
  • Arrange referrals to specialists and ensure the transfer of records when needed.
  • Gather feedback, solicit reviews/testimonials, and make improvements.
  • Proficiently use CRM, Outlook, and Zoom for seamless transaction support.
  • Work closely with other departments to ensure smooth operations.
  • Facilitate the setup of initial medical consultations, distribute necessary links, and document consultation notes.

Qualifications:

  • Professional working proficiency in English and in a second language, preferably Italian or French (C1-C2). Fluency in other languages is considered a plus.
  • Proven experience as a Medical Administrative Assistant.
  • Proficiency in CRM medical software and MS Office.
  • Understanding of healthcare operations.
  • Exceptional organizational and multitasking skills.
  • Excellent communication skills with a patient-centric and empathetic approach.
  • Strong team spirit for collaborative work.
  • High level of Emotional Intelligence.
  • Certification in medical administration or Assistant in Nursing is a plus.
